First Absence:
Please send to student who reaches out about an absence….(you do not need to cc the coordinator):
Dear ________________________,
As per Sara Schenirer policies (which can be found here), you are allowed one absence per course per semester. Any additional absences will affect your final grade. You are required to make up all work and assignments that were missed.
(This can be added, at your discretion)
Please reach out to your coordinator the morning after your absence to request a recording of the session.

Dear _______________________,
As per Sara Schenirer policies (which can be found here), a second absence is not generally allowed. I am including your coordinator in this email to guide us in this instance.

Third Absence Request:
Please reply to student’s email and cc the coordinator so that there is transparency as to the reason for the absence:
Dear _______________________,
As per Sara Schenirer policies (which can be found here), a third absence is not allowed. In general, students that have missed so many sessions ultimately fail the course and therefore, are advised to withdraw, if still possible.
Please reach out to your coordinator for further advisement.
Please send to student and cc the coordinator:
Dear ____________,
After reviewing your paper, there seems to be evidence that artificial intelligence was used. Per Sara Schenirer’s academic integrity policies (which can be found here), the use of AI-generated content for assignments is considered a form of plagiarism. Can you please clarify whether you used ChatGPT or another machine-driven program when writing this? Were you working with Google Docs or Word? If you were using Word, was Grammarly activated on your Word account?
In addition, please send me your original draft for this assignment. I will hold off on grading this paper until tomorrow. I’ve cc’d your coordinator here. Please respond to us both.
Thank you for your prompt attention to this matter.
Please ensure that the student replies to both you and the coordinator. If not, please loop the coordinator back in. The coordinator will take it from there, while including you in the communication.
If there are significant extenuating circumstances, please reach out to the coordinator.
Please reply to the student asking for assignment extension. (No need to cc the coordinator):
Dear ________________________,
As per Sara Schenirer policies (which can be found here), assignments may be submitted up to one week after the due date, but they incur a 2% grade reduction per day.
(Depending on the situation, please conclude the email appropriately.)
While I understand that you have been dealing with a difficult situation, I recommend that you get the work in as soon as possible so that the grade penalty is as small as possible.
(Note to instructor: If you see at the end of the semester that this was a one-time situation for this student, you can definitely be in touch with IT Support to remove the penalty. Please consult with your coordinator before making this decision.)
For a student who contacted you before class with technical issues (i.e. wifi down, computer broke, camera broke)
Please reply to the student and cc the coordinator:
Dear ________________________,
Please note Sara Schenirer policies on computer/Internet issues here. This issue must be resolved before your next class or you will incur an absence. You are strongly encouraged to join class utilizing whatever device you have available.
